How voice-powered appointment booking works
Your receptionist collects caller details, checks your real calendar availability, and books appointments during calls — no hold music, no callbacks.
Overview
When appointment booking is enabled on your agent, callers can book appointments by voice. The agent checks your connected calendar for open slots, suggests times to the caller, and confirms the booking, all within the same phone call.
How a booking call works
The caller asks to book an appointment.
Your agent checks your connected calendar (Google Calendar or Microsoft Outlook) for available slots.
The agent reads the available times aloud to the caller.
The caller picks a slot.
The agent confirms the booking and adds the event to your calendar.
If SMS is enabled, a text confirmation is sent to the caller automatically.
What you need to set up first
Appointment booking must be turned on in your agent's Duties settings.
A calendar must be connected: Google Calendar or Microsoft Outlook.
If no calendar is connected, your agent will show a warning on its overview page and will not be able to check real availability. Connect a calendar from the Channels tab on your agent.
Where to see your bookings
Booked appointments appear in three places:
The Appointments page in the sidebar (visible when any agent has booking enabled)
The agent overview page under "Upcoming appointments" (next 5 scheduled)
