Pickup reminders for staff
VoiceCraft automatically alerts Owners and Admins when a Ready order has not been collected after 15 minutes.
How it works
After an order is marked Ready, VoiceCraft watches how long it stays uncollected. If 15 minutes pass without the order being marked Completed or Canceled, every Owner and Admin in your workspace receives a pickup reminder notification. The notification includes the order number so you can act on it immediately.
Each order triggers at most one reminder. You will not receive repeated alerts for the same order.
Where the notification appears
Pickup reminders appear in the notification bell at the top of the page. The bell badge shows how many unread notifications you have. Click the bell to see recent ones, or click View all notifications at the bottom of the popover to open the full Notifications page.
Click any reminder to go directly to that order's detail page.
Who receives pickup reminders
All workspace members with the Owner or Admin role receive pickup reminders. Members with lower roles do not.
To give a team member access to pickup reminders, update their role to Admin. Go to your avatar menu (bottom-left of the sidebar), click Team, and edit their role there.
What to do when a reminder arrives
Situation | Action |
|---|---|
Customer is on their way | No action needed. Click Mark completed when they arrive. |
Customer may have forgotten | Open the order and click Text customer to send them an SMS. |
Customer is not coming | Click Cancel to clear the order from your active queue. |
Customer already picked up | Click Mark completed to close the order. |
Silence reminders for a specific order
There is no global off switch. Pickup reminders are an automatic safeguard against orders sitting unnoticed.
To stop reminders for a specific order, move it out of Ready status by marking it Completed or Canceled. Once the order is no longer in Ready, no further reminders fire for it.
If reminders feel too frequent, the most effective fix is to mark orders as Completed as soon as the customer picks up rather than leaving them sitting in Ready.
Troubleshooting
Not receiving pickup reminders. Confirm your role is Owner or Admin. Also check that Pickup reminder is enabled for at least one channel in your Notification Preferences. Click the bell icon, then the gear icon, and look in the Orders section.
Multiple orders all triggered reminders at once. This means several orders have been in Ready status for more than 15 minutes. Mark each one Completed or Canceled to clear them from your queue.
